The following is a list of the statuses and their definitions, which you may see on your dashboard for the books you set up on your IngramSpark account after uploading files.
Processing
Available: Congratulations! Your title is fully set up and ready for you to order a print copy. This doesn’t mean your book is “in distribution”, which is when retailers and wholesalers can order your book. Login to your account and click on the title of the book and scroll down to “Enabled for Distribution” underneath Print details. Click the Enable button to add distribution services. Once that is done, Ingram will send the information for your book, also known as metadata, to our distribution partners for them to pick up and post on their website, listing the book as available for sale.
Awaiting Customer Update: You've rejected your e-proof and noted that new files need to be submitted. Your book will remain in this status until your new files are uploaded.
Content Upload Validation: Content Upload Validation is a PDF file analysis tool that can assess the quality of cover and interior files uploaded within an IngramSpark account.
This tool allows Lightning Source (printer for IngramSpark) to look at the PDF content uploaded and provide on-screen feedback to you about anything that could be detected in the file that could prevent or delay your book from completing the title set up process.
When you submit a revised file for a book you need to make changes to or you set up a new title and upload the cover and interior files through your IngramSpark account, you will see the message CONTENT UPLOAD VALIDATION, while this tool checks your files for technical issues such as:
- Fonts not embedded
- File contains transparency
- Low-resolution images
- Spot colors used
- Damaged PDF document
- Color space used
- Password-protected file
If your files pass the Content Validation process, it does not guarantee that your content will pass through our file submission process without issues. If the Lightning Source premedia team finds a problem with the file(s) you will be notified by email of the corrections to be made. You can also access this information through your IngramSpark account when you see the "Title Processing Error" status for your book by clicking on the link.
You will need to correct the files and upload them again. If corrected files are not uploaded, we cannot complete your title set up work.
File Fix Services
Some of the items detected by the Content Upload Validation function will be things that Lightning Source can attempt to fix for you at no charge.
When this happens, you’ll see the following note in the on-screen messaging:
Corrections to some errors cannot be 100% guaranteed. For this reason, we strongly recommend reviewing a printed copy of the final book when taking advantage of this free correction service.
If Lightning Source is not able to offer a correction to an error found, for example where fonts are not embedded, you will not see any messaging offering the free correction service. Instead, you will be asked to replace the file uploaded with your own corrected version.
When the Content Upload Validation function is performed, your files have not yet been released to Premedia for processing, so, there is no cost associated with replacing a file (revision) and performing a new Content Upload Validation.
You can replace and validate files as many times as needed. You are not charged a revision fee unless you have accepted the eproof and then upload revised files.
Pending Internal Review: Premedia is almost finished creating your e-proof from the files you submitted. The files are undergoing a final check and you should soon receive notification that you have an e-proof awaiting your approval.
Pending Publisher Approval: You have an e-proof waiting to be approved! You will need to look over the e-proof carefully for errors and formatting issues, as well as a final copy-edit. If you see any issues, you should reject the e-proof and upload a revised file. If you approve the e-proof, we strongly recommend you order a print copy and inspect the printed book before adding distribution services. If you add distribution services and find corrections you need to make by uploading a revised file, the revised file will not process until all orders have completed printing. Make sure your book is the way you want it before adding distribution services. Note: any orders placed for print copies will not print until the e-proof has been approved.
Revision Incomplete:
There are two possible reasons for the status of a title to change to Revision Incomplete:
1. If you click on your book's title name to edit any metadata such as title name, summary, imprint name, or pricing and you do not click the Save button (checkmark button) shortly after, then the status of the title will remain at Revision Incomplete. To resolve this, click the Undo Revision button found either on the Dashboard page or All Titles page. Then click on the book's title name to redo the edit and click Save right away. The title status should change from Revision Incomplete to another status within 2 minutes.
2. The revision incomplete status could mean that you have uploaded files; however, they were not submitted. If you need to do so, please click on the title name and upload the files and follow through to the end of the prompts on the screen. Once you are logged in, find the title with the status "On Hold or Revision Incomplete" and click on its title name. Then click the Upload New Files button at the top left of the page, you will be taken to a file upload page. Follow the prompts on the screen, and click the buttons at the bottom right of the page to continue with the process.
Setup Incomplete: If you’ve started entering information (metadata) about your book but haven’t completed all the title setup pages and haven’t uploaded the files, then your book will be listed as “setup incomplete”. You will need to login to your account and click on the link for the book and finish all the title setup steps.
Title Rejected: You have rejected your e-proof. You will need to upload new files for Premedia to process or contact support for changes in order to move forward with processing the files for your book.
Processing: We have received the files for your book and they are being processed by Premedia to ensure that they are compatible with our printing system. This will usually take 3-5 business days to complete.
Title in Setup: Your revised files have been received and are being processed by Premedia. Interior files may process once your files have been submitted to us, your book will have the status “Title in Setup” briefly, before the files are processed through Premedia. If your title is in the status of “Title in Setup” for more than 2 days, there may be an issue or error with your files.
Title Cancelled: You have requested support to cancel a book from your account. Canceled titles will continue to appear on your account. If you decide to reactivate the title, you will need to contact support.
Title Metadata Change: You have requested to have the distribution services or pricing removed for your book. If you are transferring your book information and files to another account, you may also see this status for your book.
Title on Hold: If you submit a request to change the trim size, bind type, or transfer the book to another account, you will see this status while support works to make the requested changes.
Title Pending Revision: If your book was already in distribution when you uploaded revised files, any orders that have already been placed will need to be fulfilled before we can process the revised files in our system. Until the orders have all been printed, your title will show as “pending revision”. If your book is selling well and we continue to receive orders, it may take some time before the revised files can be processed.
Title Processing Error: If the status of your title is "Title Processing Error", you may be wondering what that means and how to move forward. It indicates our premedia file technicians may have discovered something in your file that could cause a printing issue. You will receive an email detailing the issues we have discovered, which need to be corrected by uploading a revised file.
In many cases, the file will need to be adjusted by the publisher or designer to correct the issue, and it will be submitted as a revision on the account. Any revisions submitted due to a Title Processing Error notice will not incur the $25.00 per file revision fee.
Some common notifications are listed below:
- Crop Marks on Interior PDF File
Crop marks, printer marks, and registration marks are unnecessary for our printing process, and they could appear when the book is printed. We ask that files are submitted without crop marks, printer marks, or registration marks.
- Complex Image in Interior/Cover PDF File
Complex images can sometimes cause delays in the printing process and should be flattened/rasterized.
- Cover File Uploaded for Interior Part (or Interior File Uploaded for Cover Part)
In order to ensure your book prints correctly, you may resubmit the files in their respective locations on the file upload page.
- Corrupt Interior/Cover File
Typically, a corrupt file occurs when there is a bad font or image, but it can also be caused by a special character (such as an ampersand “&”) in the file name. The errors will need to be fixed to ensure your book prints as intended.
- Barcode is Not Formatted Correctly
Barcodes are mandatory on all titles, and barcodes that will not scan will cause delays in the printing process. Barcodes should be black only (0 Cyan / 0 Magenta / 0 Yellow / 100 Black) and placed over a white box or background. Barcodes should also be large enough to scan (we recommend 1.75” x 1”) and should be a vector graphic or high quality rasterized.
- Cover Layout Submitted is Not Built to the Correct Specifications
If the cover artwork is submitted at the wrong trim size or if it does not correspond to your title’s metadata (trim size, bind type, interior type, page count), you will need to submit a new file. If you are having difficulty formatting your cover to meet our specifications, we recommend using our Cover Template Generator.
- Revised Interior/Cover Submission Did Not Fix All Issues
Although new files were uploaded, there are still issues that could occur in printing, and corrected files will need to be submitted.
- PDF Document Size is Incorrect
The PDF document size refers to the entire document, including crop marks, measurement notes, and white space of our cover template. The PDF document size is noted in the white area of our cover template.
- Ink Coverage Exceeds 240% CMYK
High ink coverage can potentially lead to printing problems such as streaking, spotting, and cracking. These issues may not manifest themselves on every printing of the book and may occur in future printings. The overall combined percentage of CMYK values of artwork for our presses should be less than 240%. For example, the 'rich black' we recommend would be 60% Cyan 40% Magenta 40% Yellow 100% Black (60+40+40+100=240%).
